POSITION SUMMARY
This full-time, entry-level position reports to the Office Manager and supports our engineering and project teams with a variety of administrative tasks. The Administrative Assistant plays a vital role in keeping our office organized, professional, and client-ready. You’ll be involved in everything from greeting guests and answering phones to compiling project documents and supporting financial processes.
We’re looking for someone who is eager to learn, enjoys working in a team environment, and takes pride in helping others succeed. You’ll work closely with internal and external teams throughout all phases of our projects, gaining exposure to a wide range of engineering services and business operations.
RESPONSIBILITIES
- Serve as the first point of contact for visitors and callers
- Maintain office supplies and coordinate with vendors
- Assemble project documents and promotional materials
- Support project teams with document production and quality control
- Track shop drawings and manage project data in our CRM/ERP systems
- Assist with financial tasks, including invoice processing and expense tracking
- Learn and teach others how to use office software and equipment
MINIMUM QUALIFICATIONS
The successful candidate will demonstrate:
- Strong communication and organizational skills
- Proficiency in Microsoft Office Suite
- Valid driver’s license for occasional office errands
- Friendly, professional demeanor and a team-oriented mindset
PREFERRED QUALIFICATIONS
- Associate degree in business, technology, or systems
- Experience in construction or engineering environments
- Familiarity with Adobe InDesign, SpecLink, Unanet CRM, Unanet AE ERP, and shipping platforms (UPS, FedEx)
